Requirements:
- Firm issued account
- Access to the firm's resources hosted in Microsoft's Office 365 services
- An already enrolled Android device (See this article for information on enrolling an Android device)
Overview:
Once your Android device is enrolled in the firm's mobile management policies, you will be able to access certain firm resources. These resources will be available through an "Enterprise Profile" that will appear alongside your existing user profile. Certain apps will be deployed to this profile automatically, and other apps will be available for you to install if you choose to.
NOTE: Firm data will only be accessible in the enterprise profile. Firm data and documents will not be able to be saved outside this profile, and any apps in the personal profile will not be able to sign into firm accounts.
Using the Work Profile
Enrolled Android devices will have a "Work Profile" automatically created on them. This profile is used to securely store firm data separate from your personal data. This ensures that the firm's data is secured to appropriate specifications while at the same time maintaining the privacy of your personal data. The Work Profile is most visible in the app listing, where there is a set of tabs to delineate apps and items that are in the Personal Profile versus items in the Work Profile.
Apps can be installed to either the Personal Profile or the Work Profile, but will need to be installed separately. For instance, if Outlook is installed to the Personal Profile, it will not be reachable from the Work Profile. Outlook would need to be installed separately to the Work the Profile. Apps that are installed to the Work Profile will have a briefcase badge overlaid on their icon to indicate that they exist within the Work Profile.
Because the Work Profile is controlled by firm policies to ensure its security, apps in the Work Profile will be able to access firm resources, while apps in the Personal Profile will not be able to. The firm will automatically install certain apps to your Work Profile for you to use. Other apps will be available for you to install through the firm's Google Play Store located in the Work Profile (and also branded by a briefcase badge).
NOTE: If you had previously installed apps on your phone, they may need to installed again to the Work Profile. Only apps in the Work Profile can access firm resources.
Using Outlook for Mail, Contacts, and Calendar:
The Microsoft Outlook app works like the Outlook program on your computer, or the Outlook web-portal. It allows you to send and receive email, view and manage contacts, and manage your calendar and appointments. The app will be automatically installed to your Work Profile when your device is installed.
Using Office Apps to View and Edit Documents and Spreadsheets:
The Work Profile Google Play Store will allow you to install Word, Excel, and Adobe for Intune. This set of applications will allow you work with Office documents like you do on your computer. Note that any items saved with these apps will be saved to the Work Profile and will only be accessible there. You will need to add your firm account to Outlook once it is installed. While your contacts will be available through Outlook, you can also sync them to your phones built-in Contacts from within Outlook. This will allow you to view your firm contacts alongside your personal contacts, but you cannot edit them from there. For instructions on syncing your contacts, see here:
Using Teams to Communicate:
Teams can be installed through the Google Play Store to chat and meet with other firm members through your mobile device. Once Teams is installed your device, it can be used for video and audio calls as well as chatting and participating in the Teams channels.
Using Zoom for Intune to Meet:
You can install Zoom for Intune through the firm's Google Play Store to host and join Zoom meetings. The advantage of using Zoom for Intune over the standard Zoom Meetings app is that the "Intune" version has the ability to share resources from the Office apps.
