Overview

This document covers the standard maintenance schedule used by the Smith+Howard Technical Systems team for applying updates and upgrades to systems at the Firm. This schedule does not cover non-standard urgent updates applied for security, maintenance, or other reasons. Any changes in this schedule will be communicated out by the technical team with as much notice as possible.

Workstation updates

The following systems are covered by this update plan:

  • Firm issued laptops
  • Firm provided desktop PCs
  • Conference room computers
  • Shared Kiosk computers (Scanner PCs, QuickBooks PC, etc.)

Types of updates applied:

  • Windows security and performance updates
  • Browser and general application updates
  • Firm specific application updates

Application updates will be announced to you via a pop-up message from Automox . Windows updates are shown as "Update and Shutdown" or "Update and Restart" when you go to shutdown or restart Windows. A reminder email will be sent the week of the updates reminding you of the updates and providing information on how to get the best results. An example update is below:

Firm Wide Systems Maintenance

The following systems are covered by this update plan:

  • All network services and network drives
  • All Firm applications including CaseWare Server, and login's to web hosted applications
  • Phone services incoming and outgoing
  • In office Wi-fi including guest and private
  • Internet access
  • VPN and remote services
  • Any other systems managed by IT

Reminder emails and calendar invites will be sent out for these outages. During these maintenance times, any data or applications locally installed and usable laptops will continue to be accessible provided they do not have to connect to Firm systems to operate (i.e. Word and Excel will work, CaseWare Server will not).
