This article will guide you on how to schedule a meeting from within Outlook.

How to install the Add-In:

  1.   Open Outlook and select the "Get Add-Ins" button on your Home Ribbon

  2. A pop-up will appear and you will search for "Zoom." The add-in will appear named "Zoom for Outlook" Select it.

  3. You will see all the add-in's details and you will click on "Add" to install it.

  4. You have successfully installed it, once the blue check appears.



How to Sign-In on the Outlook Add-in:

  1. Switch to your calendar view within Outlook and create a "New Meeting." 

  2. Select the Zoom "Settings" tool icon at the top right corner of the Zoom Ribbon. If you don't see these buttons, there might only be the Zoom logo button.

  3. A side menu will appear with sign-in details. Scroll to the bottom and sign-in via SSO. You will then enter "smithhoward" as the domain and select continue

  4. Once signed in you should be able to see your Zoom Meeting settings that includes, Meeting ID, Security, Video/Audio, and Advanced Options



How to schedule a meeting through Outlook:

 

  1. Open the calendar portion of Outlook and select "New Meeting." 
  2. Select the "Add a Zoom Meeting" button in your ribbon towards the top right corner to insert your Zoom Meeting invite. If you don't see these buttons, there might only be the Zoom logo button.

  3. Enter your meeting's details until you get to location. This would include participants in the meeting and the time and date. The location will automatically populate. 

  4. When the details are correct, you can press the send button and send the meeting invitation to all of the designated participants.



How to Schedule a Zoom meeting in a Conference Room:


If some of the meeting participants are online, but the rest want to host the meeting in person, use the collaboration or conference rooms.

  1. The process is the same as hosting online outside of editing the location. Fill in the required meeting attendants and the meeting time.
  2. If you want to host your meeting in one of the conference or collaboration rooms, delete the link in location and start typing your location of your meeting.
  3. The Zoom Invitation will populate in your message body once you have added the Zoom Meeting. Finish your invitation and send the meeting.
