Overview:
This article will walk you through booking a conference room through CloudBooking in Outlook
Booking a Conference Room using website
1. Log into the website- https://smithhoward.cloudbooking.com/SSO/Login.aspx
using your network username (email address)
2. On the left-hand menu click the Rooms menu option:
3. You will default to a list view of the all room. Under each room name you can see the max capacity highlighted in red. You can also see the room's resources and other features by selecting each room's Information symbol signaled by the red marker below.
4. Once you have decided on a room select the time range inside the Room's row. A pop-up will appear in which you can fill the exact booking date and time, as well as make it an all day booking, highlighted in green. You can also make your booking a repeating pattern using the repeat labeled symbol highlighted in red.
5. Click "Save" to book your room.
6. You will receive an email that confirms your booking and you can use the calendar invite to add it to your calendar.
Booking a Conference Room using Outlook
1. First we want to confirm that you are signed-in on the add-in. Open the "Cloudbooking" Ribbon highlighted in red.
2. Select Settings
3. You want to make sure Login with SSO is selected, then enter your Smith & Howard email and click Save
4. At the bottom left corner of Outlook, click the calendar icon
5. Once you've been switched over to the calendar, select New Appointment or New Meeting
6. Select CloudBooking and CloudBooking will load up and open
7. Once open set the Service, Number of Attendees, Time/Date, and which Room you would like to book.
The Rooms displayed, reflect the availability they have depending on the Time/Date you choose. (If a specific room does not appear on the date/time you have selected, then it has been booked for some duration of your time.)
Once done click "Next" in the bottom right
8. You will then review your Booking details, where you can view the Date/Time, and the room selected. The title will be managed by your Outlook invitation.
If you are booking on someone's behalf you can search the user using the text space labeled, "On behalf of." You also have the ability to make your meeting private via the checkbox highlighted in red.
Once you have finished reviewing select the yellow, "Book" button.

10. Finish creating your meeting invite in Outlook.
